Committee Responsibilities

Administrative

Communications
  • maintain the websites for Venice Community Association, Casa Di Amici, Villa Paradiso and Villa Vivaci
  • maintain the Venetia directory
  • manage creation and distribution of the printed version of the Venetia directory
Documents
ARTICLE IX (Committees), Section 1(c) of the Venetia Community Bylaws refers to a “Standing Committee” titled the “Legal and Bylaws Committee” which is charged with: the publication and interpretation of the:
  • Rules and Regulations
  • Bylaws
  • Declaration
  • and generally with all matters of a legal nature pertaining to the Association
Finance
  • assist the Treasurer by reviewing association Reserves quarterly
  • contacting financial institutions periodically to determine investment rates and duration available to associations
  • recommend placement of funds available for investment to the association Board of Directors for ratification
  • ladder investments to provide availability of funds needed for operations
  • review cash for needs on an ongoing basis to maximize rate of return and provide funds for Reserve designated projects during the year
Infrastructure
  • street light and landscape lighting maintenance
  • pot hole repairs
  • storm water pump maintenance and weir leaning
  • limited maintenance and repairs to the clubhouse
  • cleaning and maintenance of all fountains
  • install and maintain all signs
  • maintenance of all drop arms and gates
  • maintenance on all three waterfalls
  • maintain all security cameras
Insurance
  • assist Board Members in an advisory position by addressing specific insurance problems and make recommendations
Legal
  • render an unbiased layman’s opinion on Venetia's legal issues thereby avoiding the need to request opinions/advice from the Board’s legal counsel and an expensive legal fee
Planning

The Planning Committee goals are to project long term expenditure needs over a 20 - 25 year time frame; prepare a more detailed 5 year expenditure plan, and to recommend a one year spending plan, and to:

  • provide long term perspective as part of the budget approval process
  • coordinate efforts among functional committees and provide a means of communication among committees
  • report recommendations to the Finance Committee

Special Events

  • Organize 3 - 6 large / special events for the Community
  • Research & book large entertainment events (most will be musical events) for the Community
  • Committee Host / Organizer of that event will be determined
  • Set date of event, reserve with the Amenities Chair & submit information form to Amenities
  • Promote the event through the Bulletin Boards, Facebook, Website and Emails
  • Collect names & payments for each event
  • Determine if food, snacks and / or desserts will be provided
  • Organize committee volunteers to set-up & breakdown the layout of tables & chairs
  • Treasurer will deposit funds from event into Special Events Committee bank account
  • Treasurer will pay or reimburse for any expenses & receipts submitted
  • Organizer of event will file a financial report with income received less any expenses
  • Meetings will be held with committee members on an as needed basis

Sarasota County Liaison

The Venetia Community Association Board of Directors created the Sarasota County Liaison Committee in May 2023. The purpose of this Committee is to research issues brought forward by the Community or residents that may require County interaction. This Committee provides information, recommendations, and next steps to the requesting Committee and in some cases will be an advocate for the Community, e.g., traffic safety on Jacaranda. This Committee will provide details, recommendations, and findings to the requesting and responsible Committee for their action and resolution.

Welcome
  • contact new residents and ensure that they are embraced by the community.
  • provide helpful information about the activities events and website as well as the city and county
  • provide them with a point of contact within Venetia to help them navigate through their first month or so as new residents
Amenities

Amenities Committee
  • review and determine the best use of new and existing amenities
  • manage and maintain the clubhouse
  • manage clubhouse reservations, scheduling of clubhouse uses and issuance of key fobs
  • maintain the Pool and Spas Fitness Rooms, Tennis/Pickleball, Bocce, Basketball, and Shuffleboard courts
Grounds

Community Enhancement
  • enhance our overall look and appearance.
  • Maintaining our common areas of clubhouse, entrances, pool area and butterfly park.
  • Help keep our community looking pristine by general cleanup, trimming of bushes, raking, sweeping, weeding
  • helping at Christmas with decorating.
Environmental
  • liaison between the community and the environmental company that treats our water features and our preserves according to Sarasota County environmental laws.
  • make informed recommendations regarding environmental issues that need to be addressed to the Venetia board when needed
  • receive reports from SWFWMD (swiftmud) that monitor our water features and storm water runoff drainage systems These items must be in compliance with the state and county to protect from possible flooding.
  • address the concerns of residents that see a problem with the water features or preserves and contact the appropriate people to determine what the problem is
  • seek answers to questions that residents might have concerning their property that borders a preserve or water feature
Landscape
  • continuously evaluate the appearance and some maintenance of the entire community in relation to the landscaping.
  • represent the people of the community and make proposals on changes to keep the community looking at its best
Trees & Gutters
  • identify trees that are doing the most damage to the sidewalks drains and/or gutters. These trees are then recommended for removal after approval by the VCA Board and Sarasota County
  • supervise the trimming of the trees
Security

Citizen's Patrol
  • patrol of the Venetia property for the following purposes:
  • watch for the possibility of unsafe conditions in the community
  • be alert to the possibility of damage to property or equipment in the community
  • report damage or breakdowns of equipment ie. entry gates security lighting etc.
  • be alert to trespassers at some areas of the property such as violating of swimming pool regulations
  • help residents who may need some form of assistance
